Supervision & team roles

Pre-licensed clinicians work under a supervisor with note co-signing, a supervision dashboard, and a clinical hours log. Everyone else gets a role that matches the job.

A practice with more than one chair

  • Submit for review, co-sign, or return with comments
  • Clinical hours that log themselves
  • Four clinician access levels plus administrative roles
  • Claims and superbills under the supervisor
  • Pre-licensed seats free on every plan

A practice that scales past one chair

Co-sign before it is final

A supervisee’s signature button reads Submit for Review. The supervisor’s dashboard queues each note and plan, and they co-sign or request edits with a comment that travels with the note. Both signatures show on the finished note.

Clinical hours that log themselves

Direct hours fill in from completed appointments. Indirect and supervision hours are logged in a click, the progress bar tracks the total against the goal, and the log exports for the board.

Roles are additive

Clinicians pick one of four access levels, from their own clients only to the entire practice. Supervisor is an overlay. Practice manager, biller, and scheduler see what the job needs and can never write or sign a note.

Billing under supervision

Claims and superbills for a supervised clinician carry the supervising provider’s name, license, and NPI automatically.

Pre-licensed seats are free

The practice plan is $39 a month including your own licensed seat, $19 a month for each additional licensed clinician, and nothing for pre-licensed clinicians. A supervisor with six associates pays $39.

Supervision notes and team messages

A Supervision Note template documents supervision itself, a Comments thread on any note under review keeps discussion outside the clinical record, and team messages stay separate from client threads.

Common questions

What does a group practice pay?

$39 a month, which includes your own licensed seat, plus $19 a month for each additional licensed clinician. Pre-licensed clinicians are free, so a supervisor with six associates pays $39 and an owner with three licensed clinicians and two associates pays $96.

Can my supervisor co-sign if they are outside my practice?

Co-signing happens inside Practice Harbor, so the supervisor holds a seat on your team; a supervisor-only seat with no caseload works. If your supervisor uses another system, you can export notes and your hours log for them.

Can a biller see clinical notes?

Administrative roles can read notes but never write, sign, or unlock them. The full table of what each role can see and do is in the help center.
