Practice Harbor is practice management and EHR software for group practices at $39 a month, which includes the owner’s licensed seat, plus $19 a month for each additional licensed clinician. Pre-licensed clinicians are free, and practice manager, biller, and scheduler roles add nothing.

Group practices pay $39 a month, which includes the owner’s licensed seat, plus $19 a month for each additional licensed clinician. Pre-licensed clinicians and administrative staff are free.
Roles that match how a practice actually runs
Roles are additive, so one person can be a clinician and the practice biller at the same time. Permissions are enforced server-side, not just hidden in the interface, so a role cannot reach data its level does not grant.
- Four clinician access levels: entire practice (the owner’s level), full client list, billing access, and basic access for a clinician’s own caseload.
- A Supervisor role for reviewing and co-signing supervisee notes.
- Practice manager, practice biller, and practice scheduler roles for administrative staff, who can read but never write or sign clinical notes.
- Additional permissions, such as letting a practice manager see financial dashboards or letting a clinician set their own service rates.
Associates and supervision in the same system
Mark a clinician as under supervision when you invite them, and their notes go to their supervisor’s review queue to be co-signed or returned with comments. Supervisees can also link their supervisor themselves from their profile.
Claims for supervised sessions list the supervisor as supervising provider in Box 17 with their NPI. Each associate logs clinical hours toward licensure, with direct contact counted automatically from completed appointments.
Scheduling and intake across clinicians
The calendar covers the whole practice. Owners, managers, and schedulers can view every clinician’s calendar, and managers and schedulers can book for anyone. Online booking can be practice-wide, where visitors choose a clinician, or tied to one clinician, and each clinician has an Accepting New Clients switch.
Booking requests land in an Inquiries list. Owners, managers, and schedulers see the whole practice and can filter by clinician. Accepting one creates the client, sends the portal invitation, and starts intake.
Billing and reporting for the whole practice
Invoices, superbills, cards on file, AutoPay, and insurance claims cover every clinician’s clients. Owners and practice managers can correct each clinician’s NPI, taxonomy code, and licenses, which are the values printed on claims.
Electronic claims are 25 cents each, eligibility checks are 15 cents, and card processing is 3.15% plus 30 cents, paid to your own Stripe account. For practices using insurance features, the income allocation report splits income by clinician, and the notes report matches sessions against notes so unsigned documentation stands out.
Adding and removing team members
Invite a team member from Settings → Team with their name, email, and roles, and they set their own password from the invitation. Roles can be changed at any time without re-inviting.
When someone leaves, the removal dialog lists what is still attached to them, such as supervisees and upcoming appointments, so you can hand those off first. Their signed notes and records are preserved.
Team members can message each other in the same inbox as client messages. Team conversations are marked internal and never appear in a client’s portal.
Where Practice Harbor is not the right fit
- Practice Harbor has no AI receptionist or phone answering.
- E-prescribing is not available yet, so a practice with prescribers will need a separate prescribing tool.
- Additional licensed seats are added by our team rather than self-serve checkout; you reply to any of our emails to add one.
Common questions
How much does Practice Harbor cost for a group practice?
The Established plan is $39 a month and includes the owner’s licensed seat. Each additional licensed clinician is $19 a month. Pre-licensed clinicians are free, and practice manager, biller, and scheduler roles add nothing. For example, an owner with three additional licensed clinicians and two associates pays $96 a month. Insurance claims are 25 cents each and eligibility checks 15 cents, with no monthly clearinghouse fee.
Can I limit what each clinician can see?
Yes. Each clinician holds one of four access levels. Basic and billing-access clinicians see only their own caseload. Full client list clinicians see every client and read every note but edit only their own. Entire practice access is the owner’s level, with settings and team management. These limits are enforced server-side, so a clinician cannot reach restricted records by changing a URL.
Can our office manager schedule and bill without seeing notes?
Not quite. Practice manager, biller, and scheduler roles can all read clinical notes, but none of them can write or sign one. A practice manager can schedule for any clinician, handle billing, invite team members, and manage settings. A biller handles invoices, payments, and claims. A scheduler books appointments and sends intake forms. Administrative roles add nothing to your subscription.
Does Practice Harbor support associates under supervision in a group practice?
Yes. Give the supervisor the Supervisor role, then mark each associate as under supervision and choose their supervisor. The associate’s notes and treatment plans go to the supervisor’s review queue to be co-signed or returned with comments. Supervised claims list the supervisor in Box 17. Pre-licensed associates are free on every plan, so adding them does not raise your bill.
Can we move our group practice from another EHR?
Yes. EHR import brings in client demographics, progress notes, treatment plans, and documents from a previous EHR’s export, with dedicated importers for some systems. If yours is not listed, email your export to support@practiceharbor.com and we import it for you, usually within one business day. Everything can be exported again at any time in open formats.
